2. Drop-Off & Pick-Up Procedure
At CHAOS Summer Camps, our drop-off and pick-up procedures are designed with child safety, accountability, and efficiency in mind. All staff are trained in loss control protocols to ensure every camper is signed in and out by an authorized adult, every day.
These procedures are in place to protect all participants and provide peace of mind to families. Thank you for helping us uphold a safe, organized, and respectful camp environment.

Morning Drop-Off
- All campers must be signed in each morning by a parent, guardian, or authorized adult.
- Upon arrival, check in with a staff member at the designated sign-in station.
- Please notify staff of any special considerations for the day (early pick-up, medication drop-off, authorized alternate pick-up person).
- Campers may not be dropped off without direct transfer of care to staff.
Afternoon Pick-Up
- Campers must be signed out by an authorized adult listed on the camper’s registration form.
- Photo ID may be requested, especially during early-week transitions.
- If an alternate adult is picking up your child, you must inform staff at drop-off or call/text the camp phone with the person’s full name.
- Campers will not be released to individuals not listed or verified in writing or by phone by the parent/guardian.
Late Pick-Up Policy
- Beckwith camps + Soccer camps in Carp and Stittsville:
- Campers must be picked up by 4:30 PM. Staff are on site from 7:15 AM for drop-off, but will not have the capacity to stay beyond 4:30 PM.
- It is essential that you contact the Camp Director (613-617-6363) if you know that it will not be possible to pick up campers by 4:30 PM.
- Repeated lateness puts a strain on camp staff and presents a safety issue where children could be left isolated with staff in the early evening.
- Repeated abuse of the pick-up time may result in termination of the camp registration without refund.
Emergency Protocol (Pick-Up)
- In the event of an emergency or missing guardian at pick-up, campers will be supervised by staff in a secure location.
- Parents will be contacted via all numbers on file (text, then call).
- If after 30 minutes we cannot reach anyone, loss control procedures involving local authorities may be initiated to ensure the child’s safety.
3. What to Bring
- Water bottle (filled)
- Lunch + snacks
- Hat + sunscreen
- Appropriate footwear (sport-specific notes in appendices)
- Weather layer (light rain jacket/hoodie)
Label everything. Avoid valuables (electronics, trading cards, cash).

4. Weather Plan
Camp runs in most weather, with modifications.
- Heat: increased water breaks and reduced intensity when required. We will take regularly scheduled breaks in indoor spaces when the weather becomes unmanageable.
- Rain: modified programming. All CHAOS Summer Camps include indoor refuge access in the event of inclement weather.
- Lightning: immediate shelter protocol.
- Air quality: activity level reduced or moved indoors when feasible.
- Cancellation channel: Email, then contact phone number (text then call).
5. Behaviour Expectations
CHAOS is a high-energy environment with clear rules: respect others and follow staff directions the first time; keep hands, feet, and objects safe; use appropriate language; participate constructively and allow others to participate.
We encourage you to have conversations with your camper to ensure their fun is contributing positively to the camp environment. We’re deliberate in helping campers learn the line between “silly” and “dangerous.” We do not negotiate safety.

- Reset away from activity and coaching conversation
- Parent contact if a pattern continues or safety is affected
- Removal from camp if behaviour becomes unsafe or significantly disrupts supervision
6. Photos, Video, and Privacy
We may capture photos/video for private sharing with families (if offered) and for CHAOS marketing (only with consent).
Consent is selected during registration or via [ADD YOUR CONSENT LINK HERE]. If you request removal of an image, we will honor it as soon as reasonably possible.
